Your day to day KEY RESPONSIBILITIESJob SummaryUnder the general direction of the Rooms Division Manager or his / her delegate, and within the limits of established IHG and local Hotel policies and Procedures, assists in managing and directing all aspects of guest relations function to achieve the highest possible guest satisfaction.Essential Duties and Responsibilities • Monitors guest relations' team to ensure maximum guest satisfaction through personal recognition and prompt cordial attention from arrival of guests through departure.• Supervises the guest relations team to ensure Priority Club members consistently receive all benefits, and repeat guests and other VIP's receive special recognition and service.• Inspects all VIP's rooms prior to their arrival.• Oversees the maintenance of efficient repeat guest history system.• Assists in promoting Inter-Hotel sales and in-house facilities.• Performs such functions as to include:o IA, RA and regular guest welcome letterso Solicitation of IA applicationso Attending to special requests by guests.o Development and implementation of guests' telephone contact systems.• Analyzes and controls guest relations' costs.• Schedules and attends regular Priority Club and VIP guests' cocktail parties and social engagements in an effort to further improve on service delivery.• Reviews arrival lists for all arrivals and VIPs and checks room allocations, amenities and special requests.• Prepares requisitions for amenities on a timely basis.• Maintains the entire range of services offered for the Club Floor and Club Lounge guest with the aim to maximize guest satisfaction.• Appraises appearance, discipline and efficiency of all colleagues under direct supervision and initiates immediate remedial action if necessary.• Organizes and conducts regular meetings for all Guest Relations' team to facilitate communication and smooth operation.• Encourages all Guest Relations colleagues to be fully aware of arrivals: regular, Club Floor, IA, RA and VIP guests and to use guest names at every opportunity. Also announces to all colleagues the up-selling opportunities of the day.• Checks that the Lobby Desk allocations of work are satisfactory and ensures that there is adequate staffing for the shift with strict grooming standards and a smooth operation at all times.• Demonstrates understanding and awareness of all policies and procedures relating to Health, Hygiene and Fire Life Safety.• Performs related duties and other projects as assigned. Key Job Responsibilities Collect the daily deposit in presence of witness from the Hotel safe in accordance with Hotel Standards Deposit the daily collection in the designated bank while accompanied by Hotel security in accordance with Hotel Standards Prepare the General Cashier Daily Report in a timely manner Function as custodian of petty cash fund and administer petty cash disbursements to Employees in accordance with Hotel Policies. Ensure that the fund is counted and reconciled at the end of the day Maintain adequate currency change and provide change to Hotel cashiers as required Ensure that the general cashier safe is secure, locked and password/combination is kept confidential. Access to general cashier cabin should be restricted to authorised persons only Develop and maintain manual and computer filing system and ensure that the files are properly named, catalogued and access is available for authorised persons only Verify and submit various Employee documentation for further approval, as per the approval matrix. These include vacation requests, final settlements, change of status, air ticket LPOs, HR action forms, loan requests etc Verify overtime vouchers with the attendance system and forward for further approval Coordinate closely with the Human resources team for all Employee documentation and any discrepancies with relation to Employee records Update the payroll system with Employee bank information prior to salary processing Prepare the monthly payroll within the cut off date and arrange for bank advices to be signed and submitted to the bank prior to the last day of each month Prepare all payroll reports and Journal vouchers as per the standards Keep updated with Human Resources policies and labour laws Qualifications Qualifications Degree / Diploma in hotel management or accounting and have previous experiences within a hotel environment. Good English communication skills and computer literacy is a must, while knowledge of Bayan, Opera, Micros, Adaco and SUN System is an asset. Key Job Responsibilities To transfer daily city ledger data from Front Office system to Back Office Accounts Receivable module. To verify the total transfer with city ledger folios. To review the city ledger folios with supporting documents such as charge slips, LPOs etc. To follow up if required for billing instructions, LPOs, supporting documents etc. To prepare invoices and obtain Director of Finance's signature. To send the original invoices with supporting documents to the customer, files a copy of the full set in the customer file. To check and verify credit card transfer with purchases slips and credit card reconciliation summary prepared by the Night Auditor. To calculate commission for credit card payments received. To issue receipts for cash and cheques received from customers and credit card payment received directly to the bank. To hand over all cash receipts to the General Cashier with receipt copy. To hand over all receipts and cheques to the Finance Secretary in the morning and evening on a daily basis for preparing cash and cheque collection report. To post all payments in A/R system. To print payment-posting report from the system, tally with general ledger and prepares payment reconciliation summary after obtaining Director of Finance’s signature. To prepare and give Staff city ledger summary to the paymaster. To maintain all barter accounts and prepare an updated summary. Qualifications Qualifications Degree / Diploma in hotel management or accounting and have previous experiences within a hotel environment. Good English communication skills and computer literacy is a must, while knowledge of Opera, Micros, Adaco and SUN System is an asset.
